Logistics
Funding We got LEF funding - requires posting to the events page at least 2 weeks in advance
Room reservation
- Stephanie filled out the event registration form (had to be signed)
- Booked Lobdell last spring (could have been earlier)
Performances
Groups

- Aiko (canceled because of the snow)
Equipment
- Usually pay Crossproducts $100 to rent equipment, but they have to be able to man it and they weren't available that weekend
- 2 speakers, 2 mics, mic stands, speaker stands from MIT A/V $125 (though actually didn't need to rent the $25 speakers because ACF had plenty)
- Mixer, more stands, a lot more mics, big box of cables from ACF (contacted Derek Wu)
Notes
- Start contacting performers at least a month in advance!
- Have someone there who knows how to set everything up for the sound system before the event starts
- Keep the person in charge of sound in the loop when it comes to performers and itinerary
- If groups need to have a certain placement of mics, maybe they should go first in setlist?? or at least remember mic placement if they need to be moved
- Considered getting speakers from Next, but had to have car to transport them to Lobdell
Food

Ordered $1260 + $75 tip worth of food from JoJo Taipei. 2x of each dish. Menu:
- White + Fried Rice
- Taiwanese Cold Noodle
- Mapo tofu
- General tsao chicken
- Beef with onion and pepper
- Ribs with salt and pepper
- Shanghai napa
- Fish fillet stirred fried with vegetable

Also cooked the following (~$360 total):
- Vegetarian and Meat Dumplings
- Luo Bo Gao (not many were eaten)
- Scallion Pancakes
- Nian Gao (with and without red bean paste)
- Sugar Cookies
- Because of the snow, there were two or three trays of food left (though people came and ate more and only one tray of stuff + one tray of rice was left at the end)

Decorations

50"x108" Red Tableclothes - Made Lobdell look SUPER fancy!
- one could fit over 2 lobdell tables
- was also used as lining for the sides of the banisters (look at historian photos for information)

Glass vases stuffed with lantern paper and put Pocky inside - overall an awesome table item
- if this is done again, buy more than 6 bags of pocky, they ran out very quickly!

Chinese Zodiac Placemats
- kept the tablecloths super clean (so we can use them... again!)
- bought off webstaurantstore online, 1000 sheets for 20 dollars

Lanterns (used old ones)
- strung three lines of lanterns across the banisters (see photos
- WILL need better string, one of the lines snapped

Lunar New Year Year of the Snake Posters
- placed in the center of the stage area, looked awesome, made by Pub Chairs Clare Zhang and Tian Mi

Red Envelopes
- passed out to each person who came in and contained gold chocolate coins
- could possibly put a cash surprise in one of them if funding allows
Setup Notes
- Event started at 7pm, Setup at Lobdell started at 4pm
- Food divided into two lines, one line went up the ramp immediately to the right of the entrance, the other up the steps. Pictures available.
- Devoted space in the center (like NightMarket) for performances, may want chairs in front of it to encourage people to watch it from the front
- Devoted space to exec and volunteer storage in the far corner next to the food lines
- A handful of people occupied tables on the top balconies, but tables up there are decorated for consistency's sake
- Dessert deployed to make time for vocal setup in the second half
Attendance & Ticket Sales
89 ticket holders + 38 performers + 26 volunteers + 13 exec + 6ish electric chairs + miscellaneous stragglers = 180 :D
At one point, the number of ticket holders was exceeded by the number of performers and volunteers ><. Remember that pastry sales are to sell tickets! (Stata is good for pastry sales but not for ticket sales...)
