Event Description
This was the second year of this event. While the turnout wasn't as good as last year because of the large snow, it still went quite well.
Event Date&Time:The event was held the Sunday night of Mystery Hunt weekend (Jan. 18th). It started at 8pm, and was supposed to end at 11pm, but ended up not ending until around 1am. Set-up started at 6pm, although Amber began bring stuff over to McCormick a little earlier.
Event Location: McCormick Brown Living Room and Dining. The BLR was used for karaoke, the Dining room used for DDR and board games.
Event Description: As usual, we had karaoke, and DDR, we also had games like Settlers of Catan, mahjong, and Chinese Chess.
Problems: We couldn't have English karaoke this time because the PS2 was not compatible with the tv we borrowed from McCormick desk. Which posed to be a problem when we had quite a few people come who did not know Chinese at all, looking for karaoke. Some did stay to play DDR and mahjong and Catan, but most just ate some snacks then left. Also, Mystery Hunt had not ended yet, so many ppl were gone.
This was the first year we decided to try out this event, so we had a lot of freedom to play around with what we wanted to do. The main thing we decided was that the event would not just be a karaoke night, but more of a general asian game night.
Event Date & Time: Wednesday, January 30 from 8pm-11pm (Setup started at 6pm but it would have been better if it had started earlier. Event ended up running until past midnight and cleanup took approx. an hour.)
Event Location: McCormick Brown Living Room and Dining (Make sure somebody who lives in McCormick books this early because a few emails have to be sent out before you are allowed to reserve dining and before you can reserve rooms for more than 4 hrs. Also, you will need a rough list of who you expect to attend this event so have a list from earlier events ready)
Description of Event: We had taiko drumming, karaoke revolution (many diff versions), ddr, and chinese karaoke, plus a few board games.
Setup: Loud things were put in the Brown Living Room with some drinks and cups. Quiet things (board games), snacks, and the rest of drinks in the Dining Room.
Problems we ran into: McCormick elevator stopped working so we couldn't get the TVs from 4W until very close to the start of the event. Also, the taiko drumming wouldn't work with the ps2 we had so we actually didn't have that station setup.
Other Ideas we had that weren't implemented: Have volunteers teach Chinese board games/card games and have volunteers teach simple Chinese songs to people who can't speak/read.
Shopping List
We got 4 more karaoke dvds from Chinatown-store next to China Pearl, since we couldn't borrow the 2 that we'd gotten from Charlie last year. We also just bought sodas from Shaws, and decided not to buy snacks b/c of the budget decrease. It turned out we had leftovers from the Arts&Crafts workshop though, so we used those. Which was very good, b/c they were definitely a big hit. All the snacks were cleaned out by the end of the night. So advice-ALWAYS GET SNACKS AND DRINKS!!!!! Aloe drink was the first to go-so obviously very popular. Out of the 12 liters of soda bought, we had 3 left (a 3-liter bottle of coke).
Things used already owned by ATS: projector, karaoke dvds-Sadness Music, Jay Chou, Wang Lee Hom, SHE, Jolin Tsai, Fashion Combination in Taiwan, pinyin lyric books (we used laptops to read them to keep it more organized and green. but not necessary. see this wiki for all the lyrics we have (once i figure out how...:D)
Things borrowed from ATS members: 2 sets of speakers, PS2 and karaoke games, laptops, DDR & pads, Settlers of Catan boards, maybe the mahjong set and the Chinese Chess set. not sure where those came fromx.x
Things borrowed from others:
- ACF-sound equipment-2 speakers, 2 mics, powers trip, cables to connect everything
- Dan Jang-projector
- McCormick-tv
- Zach-A/V cable for hooking dvd player to tv
Things we had to buy: Snacks and Beverages from Super 88 and Shaws, Karaoke DVDs from Chinatown
Things we had to borrow/already had: taiko drumming PS2 game and equipment, karaoke revolution PS2 game and mics, two PS2's and two TV's(one for taiko drumming, one for karaoke revolution), two ddr pads, two laptops, two projectors, two sets of speakers (one for chinese karaoke, one for DDR), two mics (for chinese karaoke), board games (mahjong, go, chinese checkers, chinese chess), decks of cards plates and cups
Things we had to do: Type up songlist and pinyin lyrics to all the chinese songs so everybody could follow along (two copies were printed and organized into a binder)
Attendance
As noted before, the turnout was smaller this year, although that was probably because of all the snow (abt 1.5 ft...or more...maybe...) and the fact that Mystery Hunt had not ended yet. Considering these circumstances though, it was quite successful. However this year, the most popular was actually Catan. Not so many singers-although the people who did sing didn't stop. We had to cut them off at 1am.
Notes
The 2 hours of set-up includes getting all the equipment-which mostly meant waiting for it to come. Also, it's important to check and make sure equipment will work before we decide to use it. So maybe next time, check tv to make sure it's compatible with the PS2. Again, make sure you get snacks-very important-very loved. drinks are also essential. We didn't have a set photographer, so we have barely documentation of the event (the historian was out of town.) So maybe next time, just ensure there is someone willing and available to take pics/vids. All in all, it ran pretty smoothly.
